When you sign in, QuickBooks Time and Billing Manager syncs your customers, employees, vendors, service items and timesheets with your QuickBooks data. With each sync, updated information from QuickBooks appears in the QuickBooks Time and Billing Manager, and timesheets you enter in QuickBooks Time and Billing Manager are saved to your QuickBooks company file. Syncing happens automatically, accurately, and securely! You can tend to your customers, and we'll ensure that your QuickBooks data is up to date.

Yes, your data is always completely safe. You enter timesheets through QuickBooks Time and Billing Manager using a secure connection. During synchronization, your encrypted information is passed securely and directly to your QuickBooks company file.

Besides transactions, you can see important information such as unbilled time, so if you're visiting a customer, you can discuss upcoming billings in person.

The Week Grid view is the usual view for entering time and is particularly useful for multiple time entries. For each worker, you can enter time for the selected week and use multiple lines for each customer, item, and billable status.
In Week view, click the week you want using the month at-a-glance selector at the top left corner. Then click a day and time to create a single time entry (similar to adding an appointment using Microsoft Outlook in day or weekly view).
In Month view, enter time by first selecting a day of the month. The Week view for the appropriate week opens. Then click the day and time you want to create a single time entry.
In Day view, click the day you want to view using the month at-a-glance selector at the top left corner. Then click an appropriate time to create a single time entry.
The Pending status indicates that the timesheet entry is still in a 'draft' state and still being worked on.
The Submitted status indicates that the timesheet entry has been submitted by the worker (or administrator) that is ready for review by the administrator.
The Approved status indicates that the timesheet entry has been approved by the administrator. The time has either ready or has already been synced to QuickBooks.
To see if a timesheet entry has been synchronized (downloaded) to QuickBooks, mouse over the hours or the totals by type for the Approved hours to view the tooltip information.
The administrator can enter or modify a timesheet entry for any worker or week.
The worker can enter or modify their own pending time entries.
The worker can modify submitted time entries by doing the following:
Click View By Activity
Click Submitted
Check the selected time entry you wish to edit
Click Reject so the time entry is back to Pending status
Time History: Shows all time entries matching your report criteria.
To run a report:
On the QuickBooks Time and Billing Manager main page, click the Reports button at the top of the page.
Click the Customer/Job drop-down arrow and select a customer or job. To choose all customers or jobs, check the Show All option.
Click the Service Item drop-down arrow and select an item. To choose all items, check the Show All option.
Click the Worker drop-down arrow and select a worker. To choose all workers, check the Show All option.
Click on the calendar icons to set a date range for the report.
(Optional) To create a PDF copy of the report for easy printing, click the Create Report button.
In the setup window, you set general options for the QuickBooks Time and Billing Manager application. The application automatically saves any changes you make.
To open the setup window:
At the top of the QuickBooks Time and Billing Manager main window, click the Settings tab.
To set a start day and work week length for weekly timesheets:
Under Manage Time, click the Work week starts on: drop-down arrow and select a day
Under Manage Time, click the Length of work week: drop-down arrow and choose the number of days
For example, if you select Monday as your start day and 5 days as your work week length, your timesheets will display Monday through Friday for each week.
If you select Sunday as your start day and 6 days as your work week length, your timesheet will display Sunday through Friday for each week.
In the Manage Workers window, you invite workers to use QuickBooks Time and Billing Manager. The application automatically saves any changes you make.
To invite workers to enter time using the QuickBooks Time and Billing Manager:
Select Show Employees or Show 1099 Vendors tab
Enter each worker's email address.
For employees, specify a default payroll item for their time entries. If No Payroll item is selected, it must correspond to your QuickBooks setup where time entries are not used for payroll purposes.
Note: The payroll item must be setup in both QuickBooks and in the QuickBooks Time and Billing Manager for timesheet entries to successfully sync.
In your QuickBooks file:
Go to the Employee Center
Select on the employee and double click
Under the Change Tabs drop-down, select Payroll and Compensation
Under Earnings, enter the payroll item name, hourly rate
If applicable, check Use time data to create paychecks
Click the Send Invitation button at the bottom of the window.
QuickBooks Time and Billing Manger sends an email to the workers with a link to access the application.
To revoke a worker's access to QuickBooks Time and Billing Manager:
Cick the Revoke link on the same line as the worker's name.
Then if they attempt to sign in, an error page appears indicating they don't have access.
To resend an invitation to a worker:
Click the Resend link on the same line as the worker's name.
The worker's email filter may have routed the email to the spam folder or another location. Advise your worker to look for the email in their spam folder.
To resend an invitation to a worker:
At the top of the QuickBooks Time and Billing Manager main window, click the Manage Workers tab.
Click the Resend link on the same line as the worker's name.

Intuit Sync Manager handles the sync process for you. It runs on your computer and by default syncs your QuickBooks data every hour. You can change the sync frequency through your Sync Manager settings.
For up-to-the minute information, you can manually sync at any time. Just
double-click the Sync Manager icon
in your system tray and click Sync Now. To sync manually,
click your browser refresh button to refresh the information in QuickBooks Time and
Billing Manager.
To see the last time data synced between QuickBooks and the Time and Billing Manager, view the Sync Status at the top of the page.
You have to add a customer, employee, vendor, or item through QuickBooks first.
In QuickBooks, add the entry to the appropriate list.
Wait for your data to automatically sync with QuickBooks Time and Billing Manager. To manually sync your data, double-click the Sync Manager icon in your system tray and click Sync Now.
Return to QuickBooks Time and Billing Manager and refresh your browser window.
On the main window in QuickBooks Time and Billing Manager, find the Timesheets for Approval pane.
Click the worker to review their time. If a timesheet hasn't been approved, Submitted and Approved total by type hours are shown at the bottom of the page .
Click Approve Submitted to approve all the submitted timesheet entries.
Click Approve All to approve all the submitted and pending timesheet entries.
How do I submit or approve individual timesheet entries for a particular worker as an administrator?
Click on Manage Time and then click the View By Activity tab.
In View By Activity window:
On the Pending page, select one or more timesheet entries to submit.
On the Submitted page, select one or more timesheet entries to approve.
On the Approved page, select one or more timesheet entries to reject. (Optional) Administrator has an option to send email to the worker who created the timesheet entry.
In the Weekly Grid view, click the View by Activity tab at the top of the page. In this window, you can submit each timesheet entry indvidually. You can also filter your pending timesheet entries by date in this window.
In the View By Activity window, select one or more timesheet entries to submit to your administrator.
Click Submit at the bottom right coner of the window.
To enter timesheets online:
Note: The following instructions assume you're entering time using the Week Grid view.
On the main window QuickBooks Time and Billing Manager, click the Manage Time tab.
Click the Showing drop-down arrow and select the appropriate worker.
Using the left or right arrows, find the week you want to enter time sheets for.
Click on the first line under Customer:Job. Then click the drop-down arrow and select a customer.
Click the Service field. Then click the drop-down arrow and select an item.
For each day of the week, enter the hours as appropriate.
Click the Billable? check box if the time is billable.
Click on the Description field and type in any text if desired
Use a separate line for each variation if some of the time is billable and some is non-billable, or if you or your worker performed the work for a different customer or provided a different service.
When finished, click the Approve All button to approve all time for this week. Or if you want to make any other changes, click the View by Activity tab. This page allows you to change the status on each timesheet entry. You can also filter by worker and date in this window.
On the Pending page, select one or more timesheet entries to submit. Click Submit
On the Submitted page, select one or more timesheet entries to approve or reject. Click Approve or Reject.
On the Approved page, select one or more timesheet entries to reject. (Optional) Administrator has an option to send email to the worker who created the timesheet entry.
(Optional) Go to a different week to enter more time for the same worker, or from the Showing drop-down list, select another worker to enter a timesheet for.
To enter timesheets online:

Using the left or right arrows, find the week you want to enter time sheets for.
Click on the first line under Customer:Job. Then click the drop-down arrow and select a customer.
Click the Service field. Then click the drop-down arrow and select an item.
For each day of the week, enter the hours as appropriate.
Click the Billable? check box if the time is billable.
Click on the Description field and type in any text if desired
Use a separate line for each variation if some of the time is billable and some is non-billable, or if you performed the work for a different customer or provided a different service.
When finished, click the Submit button to submit all time on this week to your administrator. Or if you want to submit individual timesheet entries, click the View By Activity tab. This page allows you to submit each timesheet entry. You can also filter your pending timesheet entries by date in this window.
On the Pending page, select one or more timesheet entries to submit to your administrator. Click Submit
On the Submitted page, select one or more timesheet entries to reject should you need to make any changes. Click Reject. Note: The timesheet entry will be set back to the Pending Status.
On the Approved page, view the approved timesheet entries. No action can be done by the worker for approved timesheet entries
(Optional) Go to a different week to enter more time.
At the bottom of QuickBooks Time and Billing Manager's main window, you will see the Timer.
Click the drop-down arrows and select a Customer:Job, Service, and Worker.
Click Start to start the timer.
When you or your worker wish to pause the timer for any reason, click Pause. Click Restart to continue using the timer.
When you or your worker wish to cancel the timer for any reason, click Cancel
When you or your worker has finished working on the selected Customer:Job, click Save
Click OK to record the time entry.
At the bottom of QuickBooks Time and Billing Manager's main window, you will see the Timer.
Click the drop-down arrows and select a Customer:Job, Service, and Worker.
Click Start to start the timer.
If you wish to pause the timer for any reason, click Pause. Click Restart to continue using the timer.
If you wish to cancel the timer for any reason, click Cancel
When you have finished working on the selected Customer:Job, click Save
Click OK to record the time entry.
To delete a row in the Week Grid view:
Using the left or right arrows, find the week you want to delete time from.
Find the row that you wish to delete and click on the trash icon on the right
Click on the trash icon.
Click on Delete Row
To delete individual time using the Week Grid view:
Using the left or right arrows, find the week you want to delete time from.
Click on the time entry you want to delete.
Replace the time with zeros.
To delete time using the Month, Week, or Day views:
Double-click on a time entry. The Edit Time window opens.
Click the Delete Time button.
To unsubmit (reject) time:
Note: You can only unsubmit time that hasn't been approved.
Click View by Activity and use the calendar icons to find the time entry you want to unsubmit.
Click Submitted to view your submitted time.
Select the time entries you want to unsubmit and click Reject.
